Cancellation Policy

This Cancellation Policy explains how cancellations, rescheduling, late arrivals, and no-shows are handled for appointments and services provided by Glotologi Med Spa (“Company”, “we”, “us”, or “our”). This Cancellation Policy applies to all appointments booked with the Company, whether booked online, by phone, by email, or in person.

By booking an appointment, placing a deposit, or receiving services, you agree to this Cancellation Policy.

Interpretation and Definitions

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

For the purposes of this Cancellation Policy:

  • Appointment means a scheduled visit for any service, consultation, procedure, or treatment offered by the Company.

  • Deposit means any prepayment collected to reserve an Appointment.

  • Late Arrival means arrival after the scheduled Appointment start time.

  • No-Show means failure to arrive for an Appointment without notice, or arrival so late that the Company cannot reasonably provide the service within the remaining time.

  • Service(s) means any service, consultation, procedure, treatment, or product purchase offered by the Company.

Cancellation and Rescheduling

You may cancel or reschedule an Appointment by contacting us using the information in the Contact Us section below.

We reserve the right, in our sole discretion, to set and apply minimum notice requirements for cancellations or rescheduling, including for certain Services that require longer scheduling blocks, specialized staffing, medical clearance, or advance preparation.

If you cancel or reschedule without the required notice, you may be subject to a cancellation fee and/or forfeiture of any Deposit, as described below.

Deposits and Cancellation Fees

Certain Services may require a Deposit to reserve your Appointment. Deposits (when required) are applied toward the cost of your Service unless otherwise stated at the time of booking.

If you cancel late, reschedule late, or do not arrive for your Appointment, the Company may charge a cancellation fee and/or retain all or part of your Deposit to cover reserved time, staffing, and preparation.

Any applicable Deposit requirements and cancellation fee terms will be disclosed at or before booking, including when booking through the Site or when booking by phone.

Late Arrivals

If you arrive late, we may, in our sole discretion:

  • Provide the Service within the remaining Appointment time (which may result in a shortened Service), or

  • Reschedule your Appointment, or

  • Treat the Appointment as a No-Show if we are unable to accommodate you.

Late arrivals may be subject to cancellation fees and/or forfeiture of Deposits.

No-Shows

If you do not appear for your Appointment, you may be charged a No-Show fee and/or forfeit any Deposit.

Repeated late cancellations, rescheduling, or No-Shows may result in additional Deposit requirements, restrictions on future booking, or refusal of service, in the Company’s sole discretion.

Company Cancellations or Rescheduling

We reserve the right to cancel or reschedule an Appointment due to circumstances beyond our reasonable control, including but not limited to provider illness, emergencies, inclement weather, equipment issues, or facility closures.

If the Company cancels your Appointment, we will make reasonable efforts to contact you using the contact information you have provided. If a Deposit was collected for a cancelled Appointment, we will apply it to a rescheduled Appointment or issue a refund, as applicable and as determined by the Company based on the circumstances.

Refunds and Prepaid Services

All refund requests are handled in accordance with our policies and any applicable terms disclosed at the time of purchase or booking.

Certain Services, packages, membership charges, prepaid treatments, and product purchases may be non-refundable or subject to specific refund terms. If a Service requires a Deposit or prepayment, those terms will be disclosed before payment is collected.

Medical Considerations

Some Services may require medical clearance, consent forms, or postponement based on clinical considerations. If the Company determines that a Service should not be performed for medical reasons, we may reschedule or cancel the Appointment in our sole discretion.
